Academic Records / Registrar

Who qualifies for the Dean’s List?
Students must:

  • Earn a GPA of 3.75 or higher
  • Complete at least 12 credit hours
  • Complete all courses for the term

Who qualifies for the Merit List?
Students must:

  • Earn a GPA between 3.50 and 3.74
  • Complete at least 12 credit hours
  • Complete all courses for the term

Who qualifies for graduation honors?

Bachelor’s degrees:

  • 3.50–3.74: Cum Laude
  • 3.75–3.89: Magna Cum Laude
  • 3.90+: Summa Cum Laude

Associate degrees:

  • 3.50 or higher: With Distinction

How do I withdraw from all classes?
Complete an Official Withdrawal Form and obtain required signatures. Submit the form to the Registrar’s Office or email it to records@rio.edu. Contact your advisor to begin the process.

How do I add or drop a class?
Complete a Drop/Add Form and obtain required signatures. Submit the form to the Registrar’s Office or email it to records@rio.edu. Contact your advisor before making changes.

When do add/drop and late registration fees begin?
Fees begin on the first day of the semester.

  • Add/drop fees apply to schedule changes (excluding section changes)
  • Late registration fees apply if you register during the add/drop period

How do I request grade forgiveness?
Complete a Grade Forgiveness Request form and submit it to the Registrar’s Office or email records@rio.edu.

How do I request an incomplete grade?
Work with your instructor to complete an Incomplete Grade Request form, then submit it to the Registrar’s Office or email records@rio.edu.

How do I register for classes?

  • New students: After acceptance, a Student Success Coach will assist with registration
  • Current students: Follow instructions from your advisor or Student Success Coach

How do I apply for graduation?
The Registrar’s Office will send application information via email throughout the academic year. Contact records@rio.edu with questions.

How do I authorize someone to access my records?

How do I change my major?
Complete a Major Declaration Form and submit it to the Registrar’s Office or email records@rio.edu.

How do I change my name?
Complete a Change of Name, Address, and/or Marital Status form and provide official documentation (such as a driver’s license, court documents, or marriage license). Submit to the Registrar’s Office or email records@rio.edu.

How do I update my address?

How do I get my transcript
Official transcripts must be ordered through the National Student Clearinghouse:

Admissions

Are online classes available?
Yes. Rio offers online, hybrid, and in-person course options depending on the program.

What is the average class size?
Rio is known for smaller class sizes and personalized attention from faculty.

Does Rio accept CCP or transfer credits?
Yes. Rio accepts many College Credit Plus (CCP), AP, dual enrollment, and transfer credits.

The University of Rio Grande & Rio Grande Community College is the nation’s only combined public community college and private university. Rio offers certificate, associate, bachelor’s, and graduate degree programs.

Rio is an open-enrollment institution and does not require a minimum GPA for general admission.

How often do I need to change my password?
Every 60 days for all users.

How do I change or reset my password?

  • On campus: Press Ctrl + Alt + Delete → Select Change Password
  • Online: Visit https://password.rio.edu
  • If you still need help, contact the Helpdesk.

Password Requirements

  • Minimum 12 characters
  • Must include 3 of the following: 
    • Uppercase letters
    • Lowercase letters
    • Numbers
    • Symbols
  • Cannot reuse your last 24 passwords

Why can’t I use the password reset portal?
Your account may not be registered for self-service reset. Contact the Helpdesk to enable it.

Why can’t I see my classes in Canvas?

  • Courses appear about 1 week before the start date
  • You may not be fully registered (contact your Success Coach)
  • Your instructor may not have published the course

Why can’t I access Canvas, email, or Wi-Fi?
Your password likely expired. Reset it at https://password.rio.edu

What computer specs are recommended?

  • Windows 11 preferred
  • 8GB RAM minimum
  • 256GB SSD minimum
  • Avoid Chromebooks due to limited compatibility

Does IT repair personal devices?
No, but troubleshooting assistance is available.

Are loaner laptops available?
Yes, in limited supply. Request through the Helpdesk.

How do I access email on my phone?
Download the Outlook app and sign in with your Rio email.

How do I install Microsoft Office?

  1. Log into your Rio email
  2. Go to Apps → Install Microsoft 365
  3. Run the installer
    (Free for students—do not purchase separately)

I don’t know my Rio email—what should I do?
Check your welcome email or contact your Success Coach.

Why can’t I approve a sign-in request?
If you changed your phone or number, MFA must be reset. Contact the Helpdesk.

Can MFA be removed?
No. MFA is required for security compliance.

What if I lose my phone?
MFA cannot be bypassed, but the Helpdesk can reset it. You may also use a YubiKey (available at the bookstore).

Which Wi-Fi network should I use?

  • Students: eduroam
  • Employees:

What are eduroam login credentials?

When are tuition and fee bills issued?
Bills are typically released at least one month before the semester starts and continue weekly after the initial release.

How can I view my account balance?

How will I be notified when a new bill is available?

Can I register for classes with a balance due?
You must have a balance under $200 to register for future semesters.

When is my payment due?
Payments are due one week before the semester starts.

What happens if I miss the payment deadline?

  • Late fees begin in week 4 of the semester
  • A delinquent hold is placed on your account
  • You cannot register for future classes
  • Accounts may be sent to collections if unpaid

Are late fees charged?
Yes. Late fees begin in week 4 and are applied monthly based on your balance.

Can my classes be dropped for nonpayment?
Current classes are not dropped. However, future course registrations may be canceled.

Will a hold be placed on my account?
Yes. A delinquent hold prevents future registration but does not affect current coursework access.

What payment methods are accepted?

Can I pay online?

Is there a fee for card payments?
Yes. A 3% nonrefundable processing fee is charged by the payment provider.

Does Rio accept third-party payments?

Are international payments accepted?
Yes. Wire transfers are commonly used and recommended.

Does Rio offer payment plans?
Yes. Payment plans divide your balance into 3–4 monthly payments depending on the semester.

How do I enroll in a payment plan?
Email studentbilling@rio.edu to request enrollment.

Is there a fee for payment plans?
Yes. A fee of 0.5% of the total balance is included in the first payment.

What happens if I miss a payment plan installment?

  • 1 missed payment: $50 late fee
  • 2 missed payments: additional $50 fee and removal from the plan
  • Remaining balance becomes due in full

Can I cancel a payment plan?
Yes. Cancelling requires the remaining balance to be paid in full.


 

What happens if I overpay my account?
A credit balance is created. It can be applied to future terms or refunded.

How are refunds issued?
Refunds are issued to the original payment method:

  • Card → refunded to card
  • ACH → refunded to bank account
  • Cash/check → refunded by check
  • Wire transfer → refunded by check

How long do refunds take?
Refunds are issued weekly after attendance is confirmed and financial aid is disbursed.

Is direct deposit available for refunds?
No, direct deposit is not currently available.

What is a 1098-T form?
A tax document used to determine eligibility for education tax credits or deductions.

Where can I access my 1098-T?
Available in the student portal under My Finances.

When will my 1098-T be available?
Typically released in late February.

How does dropping a class affect my bill?
A $27 fee is charged for each class added or dropped after the semester begins.

What is the tuition refund schedule?

Fall and Spring

  • Week 1: 100% refund
  • Week 2: 50% refund

Summer

  • Days 1–2: 100% refund
  • Days 3–4: 50% refund

What if I am unsure about my major or career path? 

Success Coaches and Career Services can assist with exploring interests, strengths, and career options.

How do I change my major? 

Schedule an appointment with your Success Coach to review requirements and impacts on your academic plan.

What is academic probation? 

Academic probation means your GPA is below the required minimum. Students remain enrolled but should take steps to improve performance.

How can I improve my academic standing? 

Meet with your Success Coach Use tutoring and campus resources Improve study habits and time management

Will probation affect my financial aid or athletics? 

Possibly. Eligibility is determined by the appropriate office. The Student Success Center can provide guidance.

What should I do if I am struggling academically? 

Seek help early. Support may include tutoring, faculty assistance, disability services, and academic coaching.

What tutoring services are available? 

Tutoring is available through the Jenkins Academic Center, including writing assistance, study support, and computer access.

I received an early alert—what does it mean? 

Early alerts indicate that additional support may be helpful. Students are encouraged to follow up with instructors and the Student Success Center.

How can I improve my work-life balance? 

Create a structured schedule, set realistic goals, and use campus resources for time management support.

How do I schedule an appointment with my Success Coach?

Can I ask a quick question without scheduling a full appointment?

What if I cannot pay my bill on time?

What is a hold on my account? 

A hold is a restriction that may prevent registration, transcripts, or access to certain services.

What causes holds?

Can I have multiple holds on my account? 

Yes. Each hold must be resolved separately.

Can I attend classes if I have a hold? 

Yes. Most holds do not prevent attending current courses but may limit future actions.

Why can’t I register if I owe a balance? 

Balances above institutional limits must be resolved with the Business Office before registration.

When does registration open? 

Registration dates vary by semester. Check your student email and the academic calendar for official dates.

Can I change my schedule after registering for classes? 

Yes, during the add/drop period. Additional restrictions may apply after that time frame.

What is the add/drop time frame? 

Fall and Spring Week 1: 100% refund Week 2: 50% refund

Summer Days 1–2: 100% refund Days 3–4: 50% refund

No refund is issued after these periods.

Can I take more or fewer credit hours than the standard amount?

In most cases, yes. Approval may be required depending on program policies.

Should I speak with someone before withdrawing from a class? 

Yes. Meet with a Success Coach to understand academic, financial aid, and graduation impacts.

What is the Student Success Center? 

The Student Success Center supports students throughout their college journey by assisting with academic planning, registration, referrals, and connecting students to campus resources.

How do I contact the Student Success Center? 

Students may contact the office by phone, email, or by visiting during business hours. Contact information is available on the college website.

Can the Student Success Center help online students?

Yes. Students can receive support through phone appointments, email, Teams meetings, and virtual advising sessions.

How do I transfer credits from another school? 

Request official transcripts to be sent to the Registrar for evaluation.

What should I do after transferring credits? 

Meet with your Success Coach to review how credits apply to your degree program.

Testing Services

How do I schedule an exam?
Provide:

  • Exam name
  • Preferred date/time

How do I schedule testing for a student?
Submit a proctor request form on the Testing Services website.
Students must schedule at least 2 business days in advance.

What are testing hours?
Monday–Friday, 8:00 AM – 5:00 PM

How long are the tests?

  • Math (QRAS): 60 minutes
  • Writing (WritePlacer): 60 minutes

Is ID required?
Yes (school ID, driver’s license, passport, etc.)

Can my child retake the test?

  • Second attempt: After 14 days ($10)
  • Third attempt: After 90 days ($10)
